Payroll Specialist


Position Summary:

The Payroll Specialist is a member of the Human Resources team responsible for administering timely and accurate payroll for approximately 300 union and non-union employees. This role also assists with benefits administration and compliance related reporting and auditing.

Essential Functions:  

  • Validate and input data from time sheets into payroll system (Paylocity) for weekly payroll processing, ensuring compliance with union collective bargaining agreements and federal, state, and local payroll, wage, and hour laws
  • Balance payroll runs and provide various reporting to internal teams and externally to reporting agencies
  • Provide general assistance and administrative support regarding payroll or other related maters
  • Enters, maintains and processes HCM data including new hires, terminations, and changes to pay rates, and demographic information
  • Manage invoice process for payroll related expenditures, union dues and expenditures, benefit carriers, or other payroll deduction related reporting
  • Research and resolve payroll and related inquiries or issues, coordinating with vendor (Paylocity) on  technical issues or other related matters
  • Assist with maintaining employee paper and electronic files, assisting with audits for the Human Resources and Finance teams and assisting with research or other specialized projects
  • Track employee eligibility for various benefit plans
  • Assist with COBRA administration
  • Assist with annual compliance reporting, audits, and testing such as: EEO-1, OSHA, WC, AAP, defined benefit and contribution plans
  • Provide coordination and proactive ideas for continuous improvement of payroll processes
  • Maintain payroll expertise through continuing education efforts and general sense of curiosity

 Minimum Qualifications, Skills, and Abilities:  

  • Associates Degree in relevant field, or the equivalent amount of training and hands-on experience sufficient to perform the essential functions of the position
  • 5+ years of experience managing a weekly or bi-weekly payroll process and administration of related reports and analysis, preferred in a union environment
  • Ability to execute extremely deadline driven tasks in a timely and effective manner
  • Positive, pleasant, and approachable demeanor with an employee centric mindset
  • Demonstrated aptitude for analyzing payroll, benefit, and other financial data
  • Demonstrated ability to manage confidential and sensitive information, possess a high degree of personal integrity and sound judgment
  • Demonstrated ability to manage multiple priorities and deadlines with excellent attention to detail
  • Ability to effectively communicate with internal stakeholders, external suppliers, vendors, or other entities
  • Ability to collaborate with others to identify and solve issues or make proactive recommendations


  • Advanced knowledge of payroll systems, Paylocity preferred
  • Advanced knowledge of HCM systems, Paylocity preferred
  • Intermediate knowledge of MS Office suite,  especially Excel
